Running an operator-led agency

Navigator changes what running an agency looks like day-to-day. This lesson covers the operating model: what the platform prepares, what your team reviews, and where human judgment stays essential.

The old model

Senior strategist sits down Monday with a tab open per client. Reviews the dashboards, picks tactics, briefs the team. The team executes. Friday is reporting. The strategist is the bottleneck: every new client adds hours of weekly judgment work.

This caps your client count at the strategist's brain capacity.

The new model

Navigator picks tactics. The strategist reviews proposals: five minutes a day across the whole book. The team executes the same way they did before, but the work is queued by the platform, not by humans.

The strategist's job shifts from building every shortlist manually to reviewing recommendations, catching mistakes, and handling exceptions. The judgment stays human; the preparation gets faster.

A realistic daily cadence

  • Morning (5 min): Open /dashboard/proposals, work the queue. Approve obvious ones, reject what's wrong, flag anything that needs a teammate to look closer.
  • Midday (15 min): Review customer-visible Activity and Logs for incomplete work. Inspect the visible message and contact support about persistent errors.
  • Weekly (30 min): Review approved work in the Work Queue and record what actually went live, with evidence.
  • Monthly: Generate each client's report from Reports, check the figures, then share it. Automatic delivery on the 1st is off unless Outrigger enables it.

The capacity gain depends on client complexity, approval standards, and how much execution remains with your team. Measure it against your current workflow before changing staffing or service levels.

What stays human

A few things should never become autonomous:

  • The first audit conversation with a new client.
  • Press strategy tied to specific business events (launches, raises, milestones).
  • Anything legal-sensitive: Wikipedia edits, defamation responses, regulatory categories.
  • Strategic accounts where the client expects a senior pair of eyes on every move.

Repeatable analysis and preparation can move through the agent + queue model, with a person approving the work before anything is published or sent.
